1. About CIC Tools
CIC Tools is a software-as-a-service (SaaS) platform designed to help UK Community Interest Companies (CICs) manage their compliance, governance, and impact reporting. Our services include policy generation, compliance tracking, grant application support, and AI-assisted guidance.
CIC Tools is operated in the United Kingdom and is intended for use by UK-based organisations.
2. Account Registration
To use CIC Tools, you must create an account. When registering, you agree to:
- Provide accurate and complete information
- Keep your login credentials secure and confidential
- Be responsible for all activity under your account
- Notify us immediately of any unauthorised access
- Be at least 18 years old or have authority to bind your organisation
3. Subscriptions and Payment
CIC Tools offers subscription-based access to our platform:
- Free Trial: New users receive a 14-day free trial with full access to features
- Billing: Subscriptions are billed monthly or annually in advance
- Payment: We use Stripe to process payments securely. We do not store your card details
- Cancellation: You may cancel at any time. Access continues until the end of your billing period
- Refunds: We do not offer refunds for partial subscription periods
- Price Changes: We will notify you at least 30 days before any price increases
4. Acceptable Use
You agree to use CIC Tools only for lawful purposes. You must not:
- Use the platform for any illegal or fraudulent activity
- Attempt to gain unauthorised access to our systems
- Share your account credentials with others
- Use the platform to store or transmit malicious code
- Interfere with or disrupt the platform or servers
- Reverse engineer or attempt to extract source code
- Use automated tools to scrape or collect data
5. Your Data and Content
You retain ownership of all data and content you upload to CIC Tools. By using our platform, you grant us a limited licence to store, process, and display your content solely to provide our services to you.
You are responsible for ensuring you have the right to upload any content and that it does not infringe on others' rights.

6. AI-Generated Content
CIC Tools uses artificial intelligence to help generate policies, grant applications, and provide guidance. You acknowledge that:
- AI-generated content is provided as a starting point and should be reviewed before use
- We do not guarantee the accuracy, completeness, or suitability of AI outputs
- AI guidance is not a substitute for professional legal, financial, or regulatory advice
- You are responsible for reviewing and adapting any generated content to your needs
- For complex matters, we recommend consulting qualified professionals
7. Intellectual Property
CIC Tools, including our software, design, logos, and documentation, is protected by intellectual property laws. You may not copy, modify, or distribute our platform without permission.
Templates and documents generated through our platform may be used freely for your organisation's purposes.
8. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access. We may:
- Perform scheduled maintenance with advance notice where possible
- Experience occasional downtime due to technical issues
- Modify or discontinue features with reasonable notice
9. Limitation of Liability
To the maximum extent permitted by law:
- CIC Tools is provided "as is" without warranties of any kind
- We are not liable for any indirect, incidental, or consequential damages
- Our total liability is limited to the amount you paid us in the 12 months preceding any claim
- We are not responsible for decisions made based on our platform's outputs
Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or any other liability that cannot be excluded by law.
10. Termination
You may close your account at any time through your account settings or by contacting us.
We may suspend or terminate your access if you:
- Breach these terms
- Fail to pay subscription fees
- Use the platform in a way that could harm us or other users
Upon termination, you may request an export of your data within 30 days.
11. Changes to Terms
We may update these terms from time to time. We will notify you of significant changes via email or through the platform. Continued use after changes take effect constitutes acceptance of the new terms.
12. Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
